Main duties and responsibilities

To be part of our HR team, we are looking for a HR Assistant & Payroll support (F/M).
Your role provides administrative and operational support across key HR functions, including employee records, payroll coordination, and leave management.


Your responsibilities will include:

- Employee lifecycle Administration
Employee Datas registration: ensure proper processing of employee datas by submitting accurate encoding in our internal ERP system,
Medical visit Coordination: Schedule and track mandatory medical visits and ensure compliance with occupational health requirements,
Job reclassification: Support processes related to employee reclassification or role adjustments due to medical or professional needs,
Warnings: Prepare and document employee warnings in line with HR policy.

- Leave & Sickness Management
Long Sickness Follow-Up: Monitor and track long-term sick leaves, maintaining regular contact with the concerned employees,
Follow-Up and Comeback Long Sickness: Manage reintegration of employees returning from extended sick leave,
Sickness management: Enter and update sickness records in both systems for payroll and record-keeping purposes,
Paternity Leave Follow-Up & Reimbursement: Track paternity leaves and handle reimbursement claims from authorities,
Vacation follow-up: Manage and monitor vacation balances and requests in the internal vacation tracking system,
Delegation Hours / Training Tracking: Track delegation-related work hours and staff training attendance.

- Payroll & Timekeeping Support
Excel Salary Raise Tracker: Maintain and update salary raise records in Excel for payroll adjustment,
Employees' Timesheet Monitoring: Collect, verify, and archive monthly employee timesheets,
Monthly Template Timesheet Creation: Prepare and distribute monthly timesheet templates for staff reporting,
Daily Corrections: Apply and track any required daily time/attendance corrections to ensure payroll accuracy,
Sickness & Headcount Reporting in our internal system: Maintain up-to-date records of sickness-related absences and staff headcount,
TV Update / Internal Communication: Update internal communication boards with HR updates and team information.

- Communication & Coordination
Weekly "on duty" information email: Coordinate and send out weekly schedules for HR department availability or responsibilities,
HR Mailbox Management: Monitor and respond to incoming emails in the HR department’s shared mailbox,
Contact with STI: Liaise with the health and safety service (STI) regarding occupational health, medical visits, and employee reclassification.


Requirements

What will put you ahead?

- Have a first proven experience in a similar job,
- Are fluent in French and English, German can be an asset,
- Are independent on Excel,
- Have excellent oral and written communication skills, you are always willing to help and support employees,
- Enjoy administrative tasks and are highly focus on the follow-up of your duties.

This role requires to work every 1st day of each month in order to close the month, even during the week-end and/or bank holidays.
This role requires also to be working fully from our Soleuvre office with fixed working hours.
